Position Summary
The Programs Coordinator is responsible for coordinating and supporting SFTR’s core programs and services, ensuring effective implementation, compliance with policies and procedures, accurate data collection, and high-quality participant experiences. This role plays a vital part in managing day-to-day program operations including the Mentorship Program, Support Groups, Diaper Bank, Pantry, intake and assessments, and program reporting.
The ideal candidate is organized, compassionate, detail-oriented, and passionate about serving single-parent families.

This role plays a vital part in managing day-to-day program operations including the Mentorship Program, Support Groups, Diaper Bank, Pantry, intake and assessments, and program reporting.

Key Responsibilities:
Program Coordination & Operations
- Coordinate daily operations of SFTR programs including mentorship, support groups, diaper bank, pantry, and special initiatives.
- Schedule and support program activities, classes, workshops, and group meetings.
- Maintain program calendars and ensure smooth logistics for events and services.
- Assist in maintaining and implementing program policies, procedures, and manuals in alignment with organizational standards and funder requirements.
- Ensure program activities follow established guidelines, confidentiality standards, and best practices.
- Support continuous improvement of processes and documentation.
- Conduct intake interviews and assessments for new participants.
- Collect required documentation and maintain accurate client files.
- Serve as a point of contact for mothers, providing referrals and follow-up as needed.
- Support goal tracking and progress monitoring for participants.
- Collect, enter, and maintain participant and program data in databases and spreadsheets.
- Track outputs and outcomes for all programs.
- Assist with grant reporting, internal reports, and program evaluations.
- Ensure data accuracy, confidentiality, and timely submission.
- Coordinate inventory, distribution schedules, and record-keeping for diaper bank and pantry services.
- Work with volunteers and partners to stock, organize, and distribute supplies.
- Track usage and identify needs for reordering or donations.
- Assist with mentor/mentee matching and onboarding.
- Schedule mentorship meetings and trainings.
- Track mentor engagement and participant progress.
- Support communication between mentors, mentees, and staff.
- Coordinate logistics for support groups and educational sessions.
- Communicate with facilitators and participants.
- Prepare materials and manage attendance and evaluations.
- Support volunteers assisting with programs, pantry, diaper bank, and events.
- Help onboard volunteers and ensure they follow SFTR policies.
- Collaborate with community partners and referral agencies.
- Prepare reports, meeting notes, and program documentation.
- Assist with audits, site visits, and funder requests.
- Participate in staff meetings and organizational activities.
- Perform other duties as assigned to support the mission.
- Associate or Bachelor’s degree in social work, nonprofit management, human services, or related field, or equivalent experience.
- At least 1–3 years of experience in program coordination, case management, or nonprofit services.
- Strong organizational and time management skills.
- Experience with data entry, reporting, and basic databases or CRM systems.
- Excellent written and verbal communication skills.
- Compassionate, culturally responsive approach to working with diverse families.
- Ability to handle confidential information with integrity.
- Proficiency in Microsoft Office/Google Workspace.
- Experience working with single mothers, families, or vulnerable populations.
- Knowledge of grant reporting or outcome tracking.
- Bilingual (English/Spanish) a plus.
- Experience coordinating volunteers.

- Office and community-based work with occasional evenings or weekends for programs/events.

- Must have reliable transportation for local travel.
